What is Amaster?:
Amaster is a relational database which can accomplish many everyday tasks for you.
For starters, Amaster is a great program for keeping track of people and
information. For every record, you can input a persons name, address, home-work-fax
phone numbers, birthdate, anniversary date, notes (24 lines worth), a selected
status, and a group number. Amaster can then create a secondary merge file for
merging in WordPerfect using any or all records. Amaster has several other built in
facilities, including an automatic dialer (registered version only, and with a Hayes
compatible modem), and many printing and displaying options.
Amaster allows you to break down your database of records into smaller versions with
the grouping and selecting options. You can define up to 1100 different groups, such
as family, friends, clients, club members, etc..., and store individual records in
anyone of these groups. These grouped records can then be printed or merged
separately. The selecting option lets you "tag" files that you want to print or
display separately.
Amaster can become a part of your daily routine, Addressing letters and envelopes,
dialing phone numbers, managing information on people, etc......
Registering Amaster
Benefits of Registering:
1) - Use of the built in Auto-Dialer
2) - a default filename may be specified for merging
3) - You will receive the latest version and a printed manual
4) - You will receive news of updates to Amaster and other SMT software releases
5) - You will receive access to Sun Mountain Technologies electronic bulletin board
with access to tech. support and the latest versions of SMT products.
6) - You can receive discounts on SMT computer systems that will more than make up
for the cost of registering.
7) - You help ensure that this product will continue to be developed. Rest assured
that if there is very little response to this product, then it will no longer be
released to the general public.
8) - I will feel better about having spent all those late nights writing the 5963
lines of high level code (89 printed pages) that were required to bring this program
to you.
How to Register:
New to version 1.03α is a built in registration form. From the main
menu select utilities and then registration form. Please answer all of
the questions as future changes to Amaster will be based upon the
information we receive. When you have completed the form, press F4 to
print the registration form and mail it and your check to:

Chapter 1 - Overview
The purpose of this chapter, is to give you a general understanding of the different
screens available in Amaster. For a more detailed explanation, see the following
chapters.

The main menu is the "jumping off" point in Amaster. Here you can select from the
three basic operations of Amaster; display tables, WP merging options, and printing
options (Note: additional printing options exist from the display tables). The
registration status is also displayed.
Display/Edit/Select: This option brings up the Display Menu. Here you can display
the database in a number of different formats, add/edit/delete records from the
database, dial a phone number for a given record (must be a registered copy and you
need a Hayes compatible modem), and print individual records or entire groups of
records.
Create Merge Document: This option brings up the Merge Menu. Here you can create a
file for merging into a WP document. You can choose to merge selected records or all
records contained in a group.
Printing Menu: Here you can print the entire database (or a selected portion) as a
report, phone list, or mailing labels.

This is where you tell Amaster how you would like the table displayed. Choose the
option that is most convenient for your needs. (NOTE: whichever option you choose,
you will still be accessing the same database, and any changes you make will show up
in the other display tables)
First Name: This will show the entire database sorted in ascending order by the
first name of each record.
Last Name: This will show the entire database sorted in ascending order by the last
name of each record.
Group Number: Selecting this option will bring up a table of the currently defined
groups for this database. Select the group you would like to display, and only
records that belong to that group will be included in the display table.
Birthdate: This will show only those records for which you have entered a birthdate.
These records will be displayed in ascending order based on the month and day of the
birthdate.

This is where you tell Amaster which records to send to a merge document, and where
to send them.
Preview Selected Records: If you are planning on sending records which you have
previously selected, this option will show you all of the currently selected records
to make sure they are correct. If records appear that you do not want, return to the
display table and change the select status for that record to not selected.
Similarly, if you do not see all of the records that you wanted, return to the
display table and select the additional records.
Create Merge File of Selected: This option is used to create a merge file of all the
currently selected records. You will first be prompted for the path and filename of
for the merge file you wish to create (if this is a registered copy, your default
filename will appear, otherwise, the default is the file merge.dat in the Amaster
directory)
Create Merge File by Group: This option will allow you to select an individual group
to create a merge file from. This is real handy for mass mailings to clubs, clients,
family members, etc (provided you have established groups for these in the display
table).

The print menu provides options for printing reports, phone listings, mailing
labels, or envelopes. Other printing options, such as printing individual records or
printing a group only, are available from the display table.
Print Reports: Reports print all available information for the records. You can
choose to print all records sorted by name or group number, or print just those
records that you have selected.
Print Phone Listing: A phone listing consists of the records first & last names
followed by the home, work, and fax numbers. Phone listings may be printed in
ascending order by first or last name.
Print Mailing Labels: This option will print each records first and last name,
followed by that records address, on continuous feed standard size address labels
(3-1/2" X 15/16"). The printer should be aligned to the top left corner of the first
label prior to selecting this option.
Chapter 2 - Display Tables
Display tables list records in a scrolling table in some specified ascending order.
The information displayed does not represent the entire record, but rather the most
commonly used information, including, name, address, phone numbers, and selected
status. To view a more detailed display, press enter over the record and the record
change form will be displayed with all available information.
Display tables may be viewed in order by first name, last name, group number, or
birthdate. For this example, we will examine the view by group number display table,
since this table contains all of the features of the other tables, and then some.
Selecting display by group number will bring up a table of available groups:

Pressing CTRL-S from any display table will call the Select/Deselect Menu. This menu
lets you change the selected status of all records in the database, or, if called
from the Display by Group table, you may also specify changing the status for
records in one group only. Note: the changes will not be visible until you return to
the display table.
Why use the select by group? - Suppose you have a group called family defined for
all of your family members, and you want to send invitations for a family reunion to
everyone except for a couple of people who you know can't make it. Start off by
doing a deselect all to clear out any selected records. Next, do a select by group
for the family group. Finally, manually deselect the records for the people that
can't make it and produce a merge document to merge with a form letter/envelope in
WP.
How to select/deselect individual records: highlight the record to be changed in any
of the display tables. Press ENTER to bring up the Information Change Form. Use the
keys to highlight the selected status you wish (ie '*' or '-'). Press CTRL-ENTER
to write the changes and return to the display table.Print Options Menu

This menu offers several printing options for the record currently highlighted on
the display table as well as an option to call the Group Printing Options menu (note
this last option is only available from the Group Display Table).
Full Record: Will print the currently highlighted record (indicated by Record:... at
the top of the menu) with all information. (no form feed will be sent)
Name and Phone Numbers Only: as its name implies...(no form feed sent)
Mailing Label: Will print one standard sized mailing label (3-1/2" X 15/16") with
the name and address of the current record. (no form feed sent)
Group Printing Options: Calls a menu with options for printing the entire group.
Form Feed: In the interest of saving paper, the above printing options, including
the group printing, do not send form feeds to the printer. This option will send the
command to your printer to advance to the next sheet. This is actually more
convenient, since you can jump around the database and print random records without
needing a separate sheet of paper for each. The printing options available from the
main menu do send a form feed command automatically.

To use the dialer, you must have a registered copy of Amaster, and a Hayes
compatible modem.
The dialer is a convenient tool for hands free dialing. You can dial the home, work,
or fax number for the record currently selected, and listen to the progress of the
call over the modem speaker. You may also place a call on hold and still hear the
other party without them hearing you.
Dial .... Number: Will instruct your modem to call the appropriate number. You will
hear the call go through over the speaker. You then have the choice of picking up
the handset or hanging up.
Pick Up Phone: When the call goes through, lift the handset first, and then press
F9. This will switch control of the phoneline back to the handset. To hang up after
pressing F9, simply hang-up the handset (as the modem is no longer controlling the
phone line).
Put Call on Hold: This option will place the call on hold. You will still be able to
hear the other party, yet they cannot hear you. To pick the phone back up, follow
the instructions above for "Pick Up Phone".
Hang Up: This option will disconnect the line from the modem. The handset must also
be hung up to disconnect completely.
Chapter 3 - Creating a Merge Document
Before I begin this chapter, I would like to give a brief explanation of what a
merge is, and how it is accomplished in WordPerfect.
What is Merging: Merging is the process of taking two documents, a primary and a
secondary, and combining them together to create one document. A primary file is the
template (letter, envelope, etc..) that contains the generic part of the final
result minus the specifics (ie names and addresses, etc). Here is a small example of
a template
NOTE: the following example is a WP5.1 file, 4.2 and 5.0 will appear somewhat
different.
{FIELD}1~
{FIELD}4~
{FIELD}5~
{FIELD}6~
Dear {FIELD}2~,
This letter is to verify that you still live at {FIELD}4~ and that your telephone
number is still {FIELD}8~ during the daytime and {FIELD}7~ evenings. If there are
any changes necessary, please notify us immediately.
The fields are inserted by pressing shift-F9 in WP, and specifying which field you
would like (ie which number).
The Secondary file provides the specifics for each field.
Amaster merge documents define the fields as:
1 = First & Last Name 2 = First Name
3 = Last Name 4 = Street Address
5 = Address Line 2 6 = City, State Zip
7 = Home Phone Number 8 = Work Phone Number
9 = Fax Number 10 = Birthday
11= Anniversary 12 = Group Number
13= Group Description 14 = Notes
The result of merging the two files, will be one file containing a copy of the
template for each record, filled in with the specifics for each record.
Creating a Merge Document in Amaster: Amaster produces the secondary file (contains
specifics) to be merged into a primary file (template). All you need to tell
Amaster, is which records you would like to include. Amaster will then automatically
create a specially formatted secondary file for WP.Export to Merge File Menu

Here is where you tell Amaster which records to create a secondary merge file from.
Preview Selected Records: If you are planning on sending selected records only, this
option will allow you to view all of the currently selected records to verify that
they are what you expected.
Create Merge of Selected Records: This option will call a screen requesting a valid
path and filename for the secondary file. For convenience, you may wish to enter the
path where you store your WP documents.
Create Merge by Group: This option will first call a screen requesting a valid path
and filename for the secondary file, and will then display a table of all currently
defined groups, from which you can choose one to create the document from. The merge
document will then contain all records from that group.
Merging Files in WordPerfect
After creating an Amaster (secondary) merge document, you will need to merge it with
the template you have designed in WP. The first time you do this, you will need to
change a couple of settings in WP (this only needs to be done once).
Start WP, then press shift-F1, followed by the number 4, followed by 1. You want to
change the delimiters to:
Setup: Merge DOS Text File
1 - Field Delimiters - Begin `
End |
2 - Record Delimiters - Begin
End ~
You use F7 to skip to the 'End' line from the 'Begin' line.
Merging in WP: For this example, we will assume the template file you created is
called formltr. and the file created by Amaster is called merge.dat. To merge the
two files, press ctrl-F9, followed by 1, enter the name of the template as the
primary, so enter formltr, enter merge.dat for secondary, now WP shows you the
current delimiters, press enter to accept them as they are. Tada!!! You now have
successfully merged the two documents into one document. You should print or save
this new document now.

NOTE: Many other printing options exist from the display tables, see chapter 2 for
other options.
Printing options available from this menu allow the printing of all or selected
records in 3 formats:
Reports: Reports print all available data for each record. You have the option to
print all records (in ascending order by first or last name) or just the currently
selected records.
Phone Listing: A phone listing prints each records name and all three phone numbers
(home, work, and fax), and may be printed in ascending order by first or last name.
Mailing Labels: Mailing labels are formatted for standard sized address labels ( 3
1/2" X 15/16"). Each records name and address will appear on a label. Align your
printer to the top left-hand corner of the first label before printing.
